For MedBen clients with a January 1 effective date, the submission deadline for your open enrollment data is December 2, 2024. If MedBen receives data after this date, we cannot guarantee that it will be loaded in time for certain tasks to be completed, such as data transfers to associated vendors and ID card production and distribution.

If you are unsure that you will be able to meet the December 2nd deadline, please let your Account Management team know as soon as possible and we will do our best to work with you.

Why is this deadline necessary? MedBen receives client enrollment materials in a variety of ways (i.e., enrollment applications, MedBen Access, files from eligibility vendors). As such, we need to allow sufficient time to load the information into our system before we can finalize enrollment and process all eligibility changes.

Additionally, please note that:

  • If MedBen has traditionally received your eligibility via electronic files, we recently emailed you documents to share with your vendors describing the file requirements. It is imperative that these vendors distinguish the open enrollment files differently than the maintenance files that they currently send us to update eligibility during the rest of the year to avoid any eligibility issues in the current plan year. 
  • We strongly recommend that the files include confirmation of any dependents who are also covered under any other health plan.
  • If you are planning on offering additional plan options for your employees, please notify both MedBen and your eligibility vendor in advance to ensure that the eligibility files include those new offerings, so MedBen can properly load the new offering in our system.
